Founded in 1995 Art Craft Paint Inc, is a globally recognized aircraft paint and interior facility. Located in Santa Maria, California Art Craft specializes in highly customized paint and interior finishing. Here at Art Craft, we strive to provide each one of our customers with exceptional quality and unparalleled customer service. Currently, we are looking for a part-time administrative assistant to join our sales team. Under the direction of the Vice President of Sales, the Administrative Assistant of Sales will support all sales efforts including:

Duties:

  • Answering incoming sales inquiries
  • Preparing estimations, proposals and contracts within our CRM and accounting system
  • Scheduling video conferences, phone calls and in-person meetings for the CEO and VP of Sales
  • Manage sales lead calendar
  • Provide the CEO and VP of sales with daily reports including, sales projections using established modeling and daily task reports
  • Maintain current the CRM system, and filing system
  • Maintain current appointment journals for both the VP of Sales and CEO
  • Answer phones and greet customers

  • Ability to organize and effectively prioritize tasks
  • Ability to multi-task with various programs and learn new programs as required
  • Must have meticulous attention to detail, along with the ability to comprehend difficult tasks
  • Capable of responding to stress in a fast-paced environment
  • Strong interpersonal skills and the ability to quickly develop working relationships
  • Affable and enthusiastic attitude towards teamwork
  • Internet/Web savvy

Educational Requirements:

  • Associate’s Degree, Bachelor’s Degree, or a minimum of 4 years of experience as an Executive assistant
  • English & Spanish Speaker Prefered
  • Minimum of 2 years of administrative experience
  • Preferred experience working with C-level executives
  • Proficiency with Google Suite and Google Calendar, and fluency in Microsoft Office
  • Preferred experience with a communication program such as Slack
  • Preferred experience with a CRM platform such as Insightly or SalesForce
  • Preferred experience with an expense reporting in Quickbooks
  • Preferred experience with a social media management program such as Hootsuite and WordPress
  • Typing ability of at least 50 WPM with accuracy
  • Able to pass background and reference checks
  • Available from 8:00 am to1:00pm PST Monday-Friday

Salary $13.00 – $16.00

Part-Time Position M-F 8:00 AM-1:00 PM
